We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). This policy explains what personal information we collect, how we collect and hold it, why we collect it, how you can access or correct it, how to make a privacy complaint, and when your information may be disclosed overseas.
This policy applies to our website hosikozi.com.au and our retail store operations.
The kinds of personal information we collect and hold
Depending on how you interact with us, we may collect and hold:
- your name and contact details (email address, postal address, telephone number);
- the school and, where relevant, the student's details you provide to help fulfil a uniform order (for example year level, size requirements, or name labelling instructions);
- order and transaction history;
- account login details for our website;
- delivery information;
- records of your enquiries, correspondence and feedback; and
- website usage information collected through cookies (see "Cookies" below).
We do not store your full credit or debit card details. Card payments are processed by our payment providers, who handle your card information under their own security standards and privacy policies.
We do not collect sensitive information (such as health information) unless you volunteer it for a specific purpose, and we do not collect more personal information than we need.
How we collect and hold personal information
We collect personal information directly from you when you create an account, place an order, visit or contact our store, complete a form on our website, or correspond with us. In some cases we may collect information from a school or an authorised parent/guardian where they arrange uniforms on your behalf.
Your personal information is held within our online store platform, which is provided by Maropost (Neto). It is stored on secure cloud infrastructure and protected by physical, electronic and managerial safeguards, including encryption of data in transit, restricted staff access on a need-to-know basis, and access controls on our systems. We retain personal information only for as long as it is needed for the purposes described below, or as required by law (for example, we are required to keep business and taxation records for a minimum period under Australian law), after which we take reasonable steps to delete or de-identify it.
The purposes for which we collect, hold, use and disclose personal information
We collect, hold, use and disclose your personal information to:
- process and fulfil your orders, including delivery;
- manage your account and provide customer service;
- respond to your enquiries, returns and warranty requests;
- maintain our business and financial records;
- communicate with you about your orders and our products (you can opt out of marketing emails at any time); and
- comply with our legal obligations.
We will only use or disclose your personal information for a purpose for which it was collected, a directly related purpose you would reasonably expect, or where you have consented or we are otherwise permitted or required by law.
We disclose personal information to third parties who help us provide our service, and only for that purpose — for example, our website and hosting platform (Maropost/Neto), payment processors, and delivery and freight providers. We require these providers to protect your information consistent with this policy.
We do not sell, rent or trade your personal information. We do not use or disclose your personal information for the advertising, market research, or artificial intelligence/machine learning purposes of any third party.
Disclosure of personal information to overseas recipients
Some of our service providers store or process personal information outside Australia. In particular, our website and hosting platform (Maropost/Neto) hosts data in Australia and the United States of America, and may hold backup copies in other jurisdictions for redundancy. Where we disclose personal information to overseas recipients, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
How to access and correct your personal information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, contact our Privacy Officer using the details below. We will respond within a reasonable time (ordinarily within 30 days), free of charge. We will verify your identity before acting on a request. If we are unable to provide access or make a correction, we will tell you why in writing.
How to make a privacy complaint
If you believe we have breached your privacy or mishandled your personal information, please contact our Privacy Officer with the details of your complaint. We will acknowledge your complaint promptly (ordinarily within 10 business days) and aim to investigate and resolve it within 30 days, keeping you informed if more time is needed.
If you are not satisfied with our response, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au, by phone on 1300 363 992.
